The client needed to scale outbound prospecting across multiple sales representatives without degrading personalization, deliverability, or brand trust. Prior outreach relied heavily on manual effort and inconsistent follow-ups, limiting coverage of inbound event leads and dormant accounts. Leadership also needed guardrails to prevent over-emailing in a relationship-driven manufacturing sales cycle, while ensuring HubSpot remained the system of record for historical context, past jobs, and quoting activity.
Penguin deployed the Prospecting Agent from HubSpot, designed around RevOps principles of control, signal, and sustainability. Eight dedicated selling profiles were configured, one per sales representative, each with custom instructions governing research cadence, email frequency, and historical context usage.
Automated enrollment was triggered for ZoomInfo contacts added to HubSpot that had not been manually outreached, with randomized delays to evenly distribute send volume and protect mailbox reputation. The agent was instructed to reference prior companies, deals, closed-won jobs, and quoted opportunities when available, enabling relationship-based re-engagement. When no history existed, the agent introduced a consultative manufacturing approach and aligned capabilities to the prospect’s likely needs.
All outreach followed a helpful, conversational tone and enforced a strict maximum of one email per contact every 30 days.
